
Propel LMU continues to make great strides toward the June 2021 launch of Workday, which will serve as the university’s guiding platform for all HR and financial systems. Colleagues from across the Westchester, LMU Loyola Law School, and Playa Vista campuses have come together this fall for intensive planning and design sessions, to ensure that the university’s diverse needs are met, and that the transition to Workday is a smooth one.
In August and September, LMU data was loaded into the Workday system to further university design specifications and prepare for upcoming testing. Customer confirmation sessions were held, to validate the initial configuration and provide feedback. Project leadership also finalized a change impact analysis that will anticipate which departments and workflows will have the most dramatic adjustments to the new system; leaders can then make efforts to minimize stressors associated with the change.
Throughout the fall semester, Propel LMU representatives joined various departmental meetings, educating their colleagues about the upcoming changes and answering questions.
LMU Workday branding was finalized, including the tagline “Propelling LMU Forward,” which carries the internal project name of Propel LMU beyond implementation, and summarizes the purpose of Workday. Zoom backgrounds were designed to begin growing buzz around the project, and can be downloaded here.
As the semester progressed, a comprehensive Engagement Group of over 100 representatives from across the academic and operational units was convened. Engagement Group members will serve as the representative voice of their department, providing feedback throughout the Workday development process.
Similarly, efforts began to identify and nominate members for the future change network, which will launch just after the new year. Change network members will represent their unique area and serve as both a Workday knowledge base for their unit, and a champion to generate excitement ahead of this momentous change.
Once live, Workday will consolidate disconnected software and processes across the university, eliminating shadow systems and providing greater transparency of data, approval processes, and more.
What will change with Workday?
All HR and financial processes will be conducted through Workday – this includes time tracking, vacation/sick accruals and PTO requests, payroll reports, invoice submissions, direct deposits and more.
- All current systems, such as MyTime, Concur, Oracle, Longview, and others will be phased out and replaced with Workday.
- All HR and financial actions will be completed on one user-friendly interface, via desktop or mobile.
- Enhanced data and workflow visibility will provide greater clarity of processes and project statuses, including grant management.
