University Events has put together a series of frequently asked questions to help guide users through the process of planning and producing an event on campus.
What is Mazevo?
Mazevo is LMU’s central scheduling software solution for events, classes, and meetings. To make a reservation, log in at mymazevo.com with your LMU email and password.
Who can reserve events in Mazevo?
Only faculty, staff, and authorized student groups can submit requests. Faculty and staff are not authorized to reserve events on behalf of students.
When does my event need to be submitted in Mazevo?
All events must be submitted at least three business days before the start date. Due to L.A. city requirements, large-scale events (those spanning multiple days or locations) must be submitted two weeks in advance of the event date.
How far in advance can I reserve my event?
The calendar opens for the following fall and spring semesters on the Monday after the Thanksgiving holiday. The summer calendar opens on the Tuesday after the MLK Jr. holiday.
Why are there certain times of the year I cannot book my event?
The university designates full priority and support to crimson events. No other events are allowed to occur during these periods, as spaces are completely blacked out. You can find more information about crimson events on our website at lmu.edu/events.
I need tables and chairs for my event, what do I need to know?
All users may request tables, chairs and other resources directly in Mazevo. Any event requesting equipment requires two hours for both setup and takedown. Event Scheduling will add this to the reservation. It is important to provide an accurate guest count to ensure your event receives the correct setup and space for your needs.
What do I do if I need an audio-visual technician for my whole event?
You may request this as a resource in Mazevo. An ITS audio-visual technician request needs two weeks advance notice for approval. A cost center must be supplied to pay for the hourly fee and in some cases, equipment rental fee.
How long will it take to process my event?
Small events take at least three business days to process, while larger events can take two to four weeks. It is important to note that not all event requests are guaranteed.
Unfortunately, we are unable to accommodate last minute requests as labor and support has already been scheduled for existing events.
When is my event considered confirmed?
An event is not finalized until you receive a confirmation email from Event Scheduling. Please do not advertise your event until you receive this confirmation.
What if I need to make changes to or cancel my event?
You can make changes or cancel your event directly in Mazevo up to three days prior to your event. If you are within the three-day window, call or email Event Scheduling to request changes or cancel. Unfortunately, we cannot guarantee that changes to inventory or setup can be accommodated. A $150 No Show Fee will apply for events not canceled.
What time will my event be set-up by?
The “Customer Access Time” found on your confirmation will show the time your setup will be completed.
Can I bring my own food to my event?
All food and beverage requests must be requested via LMU’s dining partner. To arrange catering please call 310.338.1818.

Who does the setup for my event?
The Event Operations (EO) team sets-up and takes down all events on campus. For EO help, please call 310.338.2878 (option 2)
